Professional Document Systems Integrates Digital Imaging with New Mexico Supreme Court FACTS Case Management System

Installation at 5th Judicial Court in Roswell Opens Door for More Efficient Judicial Processes Statewide

EL PASO, TX January 19, 2005 – Professional Document Systems announced today the sale and installation of Documentum ApplicationXtender and DocLink to the New Mexico Supreme Court located in Santa Fe, New Mexico, and the integration of these software products to the FACTS Case management System. Professional Document Systems is the first company to develop the integration from document imaging to FACTS, which will significantly increase efficiency throughout the New Mexico Court System. Since 1995 Professional Document Systems (PDS) has sold software for managing and electronic imaging of documents for its customers.

This integration marks the culmination of years of experience working with government and the court systems in understanding how PDS could best serve the needs of their districts. “We’ve worked closely with the Judicial Information Division to allow them easier and greater access to their critical case documents,” said Matt Bowman, owner and President of PDS. “This integration of ApplicationXtender to the FACTS case management system is the first complete document solution for the court system of New Mexico. They can now find any document in seconds directly from their FACTS system instead of spending hours searching through all of their files.”

5th Judicial Needs Improved Access to Water Rights Cases

The 5th Judicial Court in Roswell was drowning in paperwork generated by pending water rights cases, some which are more than 40 years old. With over 250,000 pages of documents pertaining to these cases, the time required to find one document was immense. The Judicial Information Division (JID) chose PDS because of their ability to not only allow access to their current and historical documents with ease, but also to build integration with their existing FACTS case management system.

Document Imaging allows efficient capturing, storing, and accessing of critical case documents through FACTS, which was key to the JID gaining the control needed to speed up the judicial process. This was handled with ApplicationXtender, which allows the court to:

• Securely archive and access electronic documents, files, and other case information.
• Have connectivity between the legacy FACTS case management system and ApplicationXtender, through “DocLink” which was developed by PDS
• Pull up any document pertaining to any case in seconds with the click of the mouse.

5th Judicial now benefits from cost savings, greater efficiency, and a fully integrated system where employees can access any document from the FACTS system immediately. They can now track, recall, and store vital information related to these cases in seconds, electronically with a clear audit trail, with new documents routed to the presiding Judge and Court Special Master, speeding up the judicial process and saving taxpayers money.

Digital Imaging Also Benefits the Taxpayers of New Mexico

“As a taxpayer myself, I can certainly say that I am proud we have found a way to make their dollars work more efficiently,” added Matt Bowman. “The addition and integration of document imaging will speed up the judicial process significantly, shortening the length of these cases and reducing the backlog present in many districts. It is really a win-win both for the courts and the taxpayers of New Mexico.”

The PDS system not only allows workers in the 5th Judicial to access these documents, but they are also available via the Internet at the JID offices in Santa Fe, as well as to licensed independent contractors in Albuquerque and throughout the state.
