Tropicana Properties choose PDS as the turnkey solution for their document management needs
El Paso, TX November 5, 2008 – Tropicana Properties, a local leader in the affordable housing development
industry, processes between 1,000 and 1,800 new tenant and/or recertification files a year and they have been
locally owned & operated since 1950; this equals a whole lot of paper. The retention period on such files is
seven years; hence, the amount of time, space and money to archive these documents is considerable.
Professional Document Systems performed an in-depth document analysis on Tropicana’s records and recommended
a comprehensive turnkey solution consisting of a mass conversion job of the company’s existing files and the
implementation of an in-house electronic imaging system at a very affordable cost. Tropicana Homes agreed with
this assessment and looks forward to going “paperless” in the very near future.
Laying claim to approximately 195,000 existing documents to be kept on file, Tropicana’s first step to
“paper files” freedom is to have them converted to digital format. PDS’s experienced document conversion
center will perform not only the task of converting the files, but also the data import and indexing of this
sizeable amount of documents, thus relieving Tropicana Homes of their existing paper encumbrance.
While that service is taking place, PDS will install and implement (12) customized imaging work stations on
site at Tropicana, comprised of the following:
- ClickScan© Software – Affordable, extremely user-friendly document management software that has all the key
features businesses will ever use such as scanning, indexing, viewing, printing, and administration functions,
image import & export.
- High Performance Canon Scanners – Two different models of high speed color scanners with duplexing capabilities;
the Canon DR-9080C, one of the highest production level scanners with a duplex speed of up to 220 paper per minute
and the compact, yet versatile Canon DR-2580C with a speed of 25 ppm.
- SystemMax Business Server and VPN router – A dedicated server to be the hub for the multiple work stations
and store all of Tropicana Homes past and future documents. The server storage space will provide approximately
200GB with the capacity to store up to 4 million images!
PDS will then train end-users at Tropicana Homes how to effectively and efficiently utilize their customized
imaging work stations, thus empowering them to institute and form their own document management structure.
